How it Works for an Event Organiser
We usually 'sell' space in the bags to companies wishing to provide samples in an event's goody bags, although occasionally the event organiser will absorb the costs of the goody bags, and we are then able to offer the sampling opportunity to the market free of charge.
When enquiring about our services all options will be discussed in detail and an agreement put in writing.
Working with Event Organisers our role is:

To research and evaluate the nature of the event in order to provide an accurate profile of the participants.

To promote the sampling opportunity to a range of suppliers to secure samples and literature which fit well with this profile.

To arrange for the packing and delivery of the finished goody bags, to include samples sourced by GBC Ltd, the event organiser and any key sponsors

To liaise with all parties and to ensure that detailed delivery instructions are distributed and adhered to.

To assist our logistics company in ensuring that deliveries are booked in on time for packing, and to help with any problems that may arise.

To ensure that the finished bags are delivered on site in readiness for distribution in accordance with the Event Organisers instructions.
Timescales
We devise a timescale for each event in order to ensure that the delivery, packing and transportation to an event runs as smoothly as possible.
The timetable may look like this:
From commissioning an event...
Once we have been commissioned to provide goody bags, we will market and sell the opportunity and regularly update the event organisers of any samples sourced.
If delivery instructions have not been despatached to companies sampling at time of booking, they will be sent approximately 6-8 weeks prior to the event (usually by email).
Two to three weeks before an event...
Delivery of the samples takes place at the nominated warehouse.
One to two weeks before the event...
Items are packed into goody bags.
Finished goody bags are delivered to the event in accordance with the event organisers instructions.
Occasionally an event organiser may wish to pack their own bags, in which case samples will be delivered to them as per their instructions.
